Scope 


Participation in the 7th International Symposium on Canids includes the following partial services:

  • Participation in the symposium (including podium discussions and special lectures)
  • Handout
  • Lunch-Buffet (Saturday and Sunday, one Softdrink included)
  • Coffee break in the morning (on Saturday and Sunday)
  • Afternoon coffee break with snacks (Friday and Saturday)
  • Water and apple juice during the official event (Lectures, breaks and special lectures)
  • certificate of participation

Registration

Registration for the symposium must be in written form. For registration, an online form is available at www.canidensymposium-berlin.com. In the download area under “Service & Info” there is a printable registration form. This form can be sent by e-mail to buchung@canidensymposium-berlin.de or by mail to: Lars Thiemann, Luchsweg 11a, 14195 Berlin. Per person one registration form must be completed. The registration constitutes a binding offer of the interested party to the organizer regarding the conclusion of the contract. By registering, the participant accepts the terms and conditions of the organizer. The number of seats is limited. Upon receipt of the registration, the interested party will receive information whether there are still seats available or if the application is placed on the waiting list.

As long as participant seats are available, the interested party will receive an invoice for the participation fee. The participants seat can only be guaranteed upon receipt of payment. During the time for payment stated on the invoice, the organizer reserves the place for the  interested party. After that, the interested party no longer has a claim on the participant’s seat.

Waiting list

If there are no more seats available, the registrations concerned will be kept in the order of their receipt as a waiting list. If, at a later date, one or more participant seats become available again, one or more interested parties may move from the waiting list to the participants list. If one or more places become vacant, the interested parties (in order of their appearance on the waiting list) will receive an information by mail or telephone as well as an invoice for the transfer of the participation fee.
To guarantee participation, payment of the full registration fee is required within the time for payment stated under “Payment of Registration Fee”. Decisive is the time of the information from the organizer to the prospective customer that he can move from the waiting list to the participants list..
The waiting list is a non-binding service in order to offer as many interested parties as possible a seat – but it guarantees no commitment to participate. Interested parties, whose registration is on the waiting list, can withdraw these at any time by a written notice to booking@canidensymposium-berlin.de. If the registration on the waiting list has not been withdrawn, the registration becomes binding with the confirmation on the part of the organizer that a participant place has become vacant and the participant accepts the terms and conditions.

Payment of participation fee

In order to guarantee participation, the following payment terms apply to the transfer of the entire participation fee *:

  • If you register before 1.1.2020 you have to pay within two weeks after receipt of the invoice
  • If you register before 8.2.2020 you have to pay within one week after receipt of the invoice
  • For registrations after the 7.3.2020 payment date after consultation within 3 working days or immediately

* Decisive is the time of delivery oft he registration in the organizers inbox. The time for payment is stated on the invoice! Within these periods, the space is initially reserved for the participant. If payment of the participation fee is not made within this period, the prospective customer forfeits his claim to this place and the organizer may otherwise assign this place. The prospective customer receives a notification from the organizer, if he places the seat otherwise. All payments are to be made with the invoice number and the name oft he participant to the following account:

As long as the organizer does not occupy the place with another participant, the participation fee remains due in full. The organizer reserves the right to submit outstanding claims to a collection agency. Resulting costs are borne by the participant. For unused (partial) services is not entitled to a refund.

Unsolicited or late payments

If payments are received unsolicited or late on the organizer’s account and can not be assigned to a participant’s seat or if the participant’s seat has been assigned elsewhere in the meantime, these payments will be returned to the sender.
Arrival and departure
The arrival and departure is at own expense and own risk of the participants.

Overnight / accommodation of the participants

Booking and costs for accommodation are at own expense.
The hotel, which is booked as a venue, offers a non-binding limited Room call-in allotment for the participants. Reservations are made directly between the participants and the hotel. The organizer is neither an intermediary nor directly or indirectly involved in the reservation contract.

Dining at the venue

The symposium fee includes two lunches in buffet form (one soft drink per person included), several snacks and drinks breaks according to the program and coffee, tea, water and apple juice during the day during the event.
All additionally consumed food and drinks must be paid by the participants themselves.

The organizer is not personally responsible for the hygiene at the venue. This is the responsibility of the hotel booked as a venue. This also applies to the correct indication of ingredients and signs of the food and drinks as well as the observance of the legal regulations with regard to safety (for example fire protection regulations). If a participant incurs damage during the event, e.g. Insufficiently marked food or safety defects can not be attributed to the organizer any guilt or partial liability.

Cancellation by the participant

Each participant has the right to cancel his registration. If a participant withdraws from the registration after confirmation of his / her participation by the organizer, the following cancellation fees apply:
• From 13 weeks before the start of the event: 50% of the participation fee
• From 5 weeks before the start of the event: 75% of the participation fee
• From 2 weeks before the start of the event: 100% of the participation fee
It requires no further proof of actual damage and reimbursement of expenses incurred by the organizer.
The withdrawal must be explained in written form to the organizer, e.g. by email to buchung@canidensymposium-berlin.de.
Decisive for the calculation of the cancellation costs is the time when the organizer gets to know about the withdrawal.

Transfer of the registration to a substitute participant

A participant can have their place at any time rewritten to another person if they can not attend the event themselves.
Up to two weeks before the start of the event, a written declaration with all necessary contact details of the substitute participant to the organizer is sufficient and the participant change is free of charge.
In case of later notification, the organizer reserves the right to charge a handling fee for the change of participants amounting to 25 €. This must either be transferred to the organizer’s account in good time prior to the start of the event or paid in cash at the time of registration.
In the event of a change of participant, the participant fee will not be reimbursed to the original participant – the original participant and the substitute participant will settle the payment / refund.
The originally issued invoice can be rewritten to the replacement participant and handed out upon return of the original invoice upon registration.

Changes / cancellations / postponements of events by the organizer

The organizers reserve the right to make changes. The participants are not entitled to make their participation in certain speakers and / or certain program points or sequence. There is no entitlement to a price reduction or free cancellation, unless it is a material change to the program or services. The change of individual speakers is not a significant change!

A spatial change of the venue is also the sole responsibility of the organizer. If necessary, the organizer will inform all participants. As long as the new venue is generally rated as equal to or better than the originally planned venue and is located within the Berlin metropolitan area, participants have no right to revoke their registration. Of course you can cancel your registration under the current cancellation policy.
Necessary changes will be communicated to the participants in a timely manner.
The organizer reserves the right to completely cancel the event if the minimum number of participants is not reached at least four weeks before the start of the event or, in urgent cases, at short notice.
All participants will be informed as soon as possible and already paid registration fees will be refunded in full. In addition to the participation fee, third party incurred or incurred costs of the participant (such as costs for train or plane tickets or accommodation costs) is borne by the participant itself. There is no entitlement to reimbursement or takeover by the organizer.
The decision not to cancel the event but to postpone it instead of time is the sole responsibility of the organizer. If necessary, the organizer informs all participants of the alternative date and gives them the opportunity to withdraw their registration in writing within two weeks. If there is no cancellation, the participant accepts the alternative date on the same terms and conditions as the event at the originally scheduled time.

Certificate of participation

All participants will receive a participation certificate for their participation in the symposium.
If a participant plans to have their participation in the symposium recognized as a further education, it is their own responsibility to clarify in advance whether this certificate is recognized as a further education document. The organizer assumes no guarantee and no costs!

Bringing dogs

Unfortunately dogs can not be taken into the event rooms.

Handouts

The handouts distributed during the symposium are for personal use only. The commercial use, even in part, is not permitted. The handouts are subject to copyright.

Picture or sound recordings

The organizer prohibits any video or audio recordings or photography by the participants during the entire event.
All participants agree that partial and / or full-screen recordings, which are made during the event by the organizer or third parties commissioned by the organizer, are used for publication (in all common online and offline media) allowed.

Data protection

The data provided to the Organizer upon registration and other correspondence will be stored electronically for communication purposes, for accounting purposes and for the organization of the symposium. The data will not be made accessible to third parties, including other participants or sponsors.

The organizer reserves the right to use e-mail addresses for advertising purposes (for example, announcement of a thematically appropriate follow-up event). This use can be contradicted at any time by email to buchung@canidensymposium-berlin.de.

Liability

All participnts are responsible for their own (valuables) items. Lost or stolen items will not be replaced by the organizer.
The organizer assumes no liability for personal injury or property damage. The participants have no recourse against the organizer for self-inflicted accidents or damages.

Final provisions

Except in cases of intentional or grossly negligent conduct claims for damages against the organizer are excluded.
Each participant is responsible for informing the organizer in good time about changed contact details.
Claims expire in accordance with the statutory provisions.
Jurisdiction is Berlin.
